Executive Assistant to the Registrar and Chief Operating Officer

Position: Executive Assistant to the Registrar and Chief Operating Officer
Unit: Office of the Registrar and Chief Operating Officer
Reports to: Registrar and Chief Operating Officer
Contract Type: Regular
Location: Chittagong (BD)

Main responsibilities of the role:

Responsibilities:

  • manage the day-to-day workflow of the Registrar and Chief Operating Officer (managing the Registrar and Chief Operating Officer’s calendar, scheduling meetings with stakeholders, keeping the Registrar and Chief Operating Officer informed of daily messages and events, communicating with other departments regarding events that concern the Registrar and Chief Operating Officer)
  • make arrangements for the Registrar and Chief Operating Officer’s external visits both domestically and internationally
  • coordinate guests’ visits to the Registrar and Chief Operating Officer’s offices in AUW’s respective campuses (in conjunction with other departments as required)
  • act as the primary point of contact for the Registrar and Chief Operating Officer
  • liaise with the Founder’s and Trustees’ Offices and the AUW Support Foundation to support the Registrar and Chief Operating Officer as Clerk to the Board of Trustees and in his other Board of Trustees and AUWSF roles
  • manage communications and outreach from the Registrar and Chief Operating Officer
  • draft minutes and meeting notes, briefing documents, correspondence, and other material as required
  • maintain and administer contact, initiative, and assignment databases
  • ensure that all documents are recorded and filed electronically
  • develop a clear understanding of the goals and priorities of the Registrar and Chief Operating Officer
  • other duties as assigned by the Registrar and Chief Operating Officer

The Executive Assistant is required at all times to maintain complete confidentiality and to understand the high level/senior nature and sensitivity of the work that is done by the Registrar and Chief Operating Officer.

Other requirements:

  • minimum Bachelor’s degree from a reputable university (a postgraduate qualification will be highly valued)
  • excellent written and spoken English (written and spoken Bangla will be highly valued)
  • effective time management and ability to prioritise work
  • very high competence in office software including the Google Suite, Microsoft 365, Teams, Zoom, etc.
  • a collaborative approach to work, the ability to manage competing priorities, and willingness to take part in intensive work during periods of high workload and strict deadlines
  • experience with administrative assistant work in an academic environment or other university experience will be highly valued
