Role Purpose
The Deputy Director supports the strategic leadership and day-to-day operations of the Admissions Unit, ensuring effective planning, coordination, and execution of undergraduate admissions processes. The role plays a critical leadership function in managing recruitment pipelines, admissions operations, cross-unit coordination, and data-driven decision-making, particularly during peak recruitment cycles. The Deputy Director acts as a key liaison between Admissions, academic units, partner organizations, and external stakeholders to support AUW’s mission of expanding access to quality education for women from diverse backgrounds from Asia and Middle East..
Key Responsibilities
Strategic & Operational Leadership
- Support the Director of Admissions in developing and implementing admissions strategies aligned with institutional priorities and enrollment targets.
- Oversee day-to-day admissions operations emphasizing on the implementation work (outreach, marketing/promotion), particularly during peak cycles (shortlisting, testing, interviews, offers, and enrollment).
- Contribute to policy development, review, and implementation related to admissions, recruitment pathways, and special programs (e.g., preparatory programs, pathway/pre-UG initiatives).
- Act on behalf of the Director of Admissions when required, ensuring continuity of leadership and decision-making.
Admissions Process Management
- Coordinate with the manager and other team mates for applicant screening, shortlisting, assessment scheduling, and offer issuance across multiple campuses and delivery modes.
- Ensure transparent, fair, and timely admissions decisions in line with AUW policies and donor/sponsor requirements.
- Monitor timelines, workflows, and quality control across admissions stages to minimize delays and operational risks.
Recruitment & Outreach
- Support and oversee recruitment initiatives targeting both fee-paying and financially supported/full-free students across priority regions.
- Coordinate with local and international partners, NGOs, consultants, embassies, and schools to disseminate recruitment information.
- Contribute to the development and dissemination of recruitment materials (digital and print) in collaboration with the Communication and Outreach Coordinator and Admissions teams.
- Support country- or region-specific recruitment strategies, including oversight of country coordinators and focal persons.
Stakeholder & Cross-Unit Coordination
- Serve as a key point of coordination between Admissions and Academic Affairs, Student Affairs, Finance, IT, Housing, and partner programs.
- Ensure clear communication with applicants and admitted students, including sharing consolidated contact points for queries and support.
- Participate in institutional committees related to enrollment planning, entrance exam developing, campus operations, and academic scheduling as needed.
Data, Reporting & Compliance
- Oversee admissions data management, ensuring accuracy, completeness, and confidentiality of applicant and enrollment records.
- Support data analysis and reporting for internal planning, leadership updates, and external stakeholders (sponsors, partners).
- Ensure compliance with institutional policies, sponsor agreements, and regulatory requirements related to admissions.
Team Management & Capacity Building
- Supervise and mentor Manager, Admissions Coordinators, and Admissions Officers and relevant support staff.
- Support workload planning, task delegation, and performance monitoring within the Admissions Unit.
- Contribute to process improvement, documentation, and capacity building to strengthen team efficiency and resilience (if required).
Qualifications and Experiences:
- Master’s degree in Education, Social Sciences, Development Studies, Management, or a related field (Bachelor’s degree with significant relevant experience may be considered).
- Minimum 2 – 5 years of progressive experience in admissions, enrollment management, higher education administration, team management, strategy and implementation of project activities, monitoring, evaluation, and reporting or related fields.
- Demonstrated experience in managing complex processes, multiple stakeholders, and high-volume workflows.
