Position: Office or Assistant Coordinator, Travel and Logistics

Unit: Travel and Logistics

Reports to: Deputy Registrar

Location: Chittagong Sadar (On Campus)

Asian University for Women (AUW), an independent international university with students drawn from 19 countries across Asia and Middle East. It is an educational institution looking for a candidate who holds knowledge in Office/Asst. Coordinator, Travel/Logistic & Transport.

Key Responsibilities:

  • Act as a key support and assist Travel/Logistic & Transport Coordinator/Manager
  • Provide logistic, travel & transport related support to faculty, staff & students
  • Provide full time administrative support of Travel & Logistic office
  • Take own initiative to run AUW’s transport operation smoothly
  • Able to run the department with minimal supervision
  • Maintain vehicles checklist, logbook and act accordingly
  • Maintain ticket issuing spreadsheet
  • Responsible to update all vehicles related documents
  • Able to prepare transport schedule

Job Description in Details:

  • Report to Travel & Logistic Coordinator/Manager.
  • Receive email correspondence from faculty, staff students for issuing ticket and act according to approval & priority.
  • Assist Travel Coordinator/ Manager for all his/her work.
  • Receive all travel/transport request, act and distribute duty as per AUW’s policy.
  • Able to do protocol service of VIP guest/visitor.
  • Able to prepare driver’s duty schedule and regular transport shuttle.
  • Need to have sound knowledge on travel related documents and vehicle maintenance.
  • Able to handle vehicle maintenance issues and monitoring repair work closely.
  • Liaison with travel agent, vehicle rental agencies for expedite service in competitive cost.
  • Deal with the driver’s team and ensure cleanliness and proper maintenance of vehicles.
  • Need to be proactive and problem solver.
  • Prepare Travel Approval.
  • Prepare Bill and Submit to the finance Office.
  • Prepare PR Form (If needed).
  • Able to do all administrative job.

Other Requirement:

Experiences: At least 3 years’ experience in related fields.

Qualification: Graduate in any discipline, female candidate preferable.

Skills: Need to have sound computer & communication skills{spoken/written}.
