Position Outline:

The Head of Academic Registry holds a pivotal leadership role responsible for directing the strategic and operational management of academic records, student registration, academic governance, and institutional reporting. This position ensures the highest standards of data integrity, compliance, and academic service excellence throughout the student life-cycle—from admission through to graduation and alumni support. Acting as a vital liaison between academic leadership, faculty, administrative units, and external stakeholders, the Head of Academic Registry ensures the streamlined academic processes, effective policy implementation, and a culture of continuous quality improvement.

Main Responsibilities of the Job:

Academic Records & Data Integrity

  • Provide authoritative oversight of student academic records management, ensuring timely, accurate, and secure maintenance of all academic and personal data.
  • Lead the production and dissemination of customized academic reports for institutional decision-making, accreditation, and regulatory compliance.
  • Implement and monitor rigorous degree verification procedures, transcript issuance, and certificate management to uphold institutional credibility.
  • Ensure strict adherence to academic policies, data governance frameworks, and confidentiality protocols.

Academic Registration & Enrollment Management

  • Collaborate with academic leadership to finalize semester course offerings, class schedules, and classroom allocations to optimize resource utilization and student experience.
  • Oversee comprehensive enrollment cycles, including registration, add/drop periods, waitlisting, and degree audit processes.
  • Manage integrated advising support by leveraging degree planning tools and academic performance analytics to enhance student progression.
  • Maintain institutional ERP systems to facilitate seamless registration workflows and accurate academic tracking.

ERP Systems Oversight & Data Analytics

  • Manage data quality and integrity within ERP and allied student information systems through close collaboration with IT.
  • Drive the development of actionable academic insights, enrollment forecasts, and performance indicators to inform strategic planning.
  • Utilize advanced analytics to identify trends, inform resource allocation, and support student success initiatives.

Student Success & Academic Alert Systems

  • Lead the administration of early warning mechanisms and academic alert protocols to proactively identify and support at-risk students.
  • Establish clear academic intervention criteria and coordinate with faculty and academic advisors to implement timely support strategies.
  • Continuously evaluate and enhance alert processes to maximize student retention and academic achievement.

Quality Assurance & Evaluations

  • Direct the administration of student and faculty evaluation processes, ensuring robust data collection, analysis, and reporting within the academic cycle.
  • Maintain comprehensive records of evaluation feedback and collaborate with academic units to implement improvements in teaching and learning quality.

Academic Calendar & Bulletin Management

  • Oversee the development, publication, and dissemination of the academic calendar with university stakeholders.
  • Support the periodic review and revision of the Academic Bulletin, program regulations, and curriculum documentation to reflect current academic standards.

Graduation & Certification

  • Manage graduation clearance, degree audits, and certification issuance to ensure compliance with academic requirements and institutional policies.
  • Coordinate all operational aspects of commencement ceremonies, including logistics, communications, and alumni documentation services.
  • Facilitate post-graduation support services such as transcript requests, verification letters, and alumni academic records management.

Institutional Administration & Engagement

  • Lead administrative support for staff and student orientations, scheduling, and academic facility management.
  • Oversee student exit clearance procedures and the secure maintenance of post-enrollment academic records.
  • Manage faculty office allocations and optimize utilization of classrooms and academic spaces.
  • Participate in cross-functional operational projects aimed at enhancing institutional effectiveness and student experience.

Academic Governance & Committee Support

  • Serve as an active member and administrative liaison for key academic governance bodies, including Academic Council, Academic Actions Committee, Learning & Teaching Committee, Disciplinary Committee, and Operational Management Team.

Other Requirements:

  • Master’s Degree in any Discipline.
  • 5 to 7 Years of Experience in proven experience to a similar level role.
  • Qualification relevant to working and leading in Higher Education
  • Excellent knowledge of Microsoft Office Advanced keyboard skills
  • Fluent in English and Bangla Language.
