Executive Assistant to Dean

Position: Executive Assistant
Unit: Office of Dean
Reports to: Associate Dean of Academic Affairs and to the Director of the General Education Program
Contract Type: Regular
Location: Chittagong (BD)

Note: “Principal” is understood here to mean both the Associate Dean of Academic Affairs and the Director of the General Education Program; responsibilities to both Principals are combined in this position.

Main Responsibilities of the Job:

Responsibilities:

  • Manage the day-to-day workflow of the Principals (managing the Principals’ calendars, Scheduling meetings with stakeholders, keeping the Principals informed of daily messages and events, communicating with other departments regarding events that concern the Principals).
  • Make arrangements for Principals’ external visits both domestically and internationally.
  • Coordinate guests’ visits to the Principals’ Offices (in conjunction with other departments as required).
  • Act as the primary point of contact with the Principals’ Offices for the rest of the University.
  • Manage communications and outreach from the Principals’ Offices.
  • Draft minutes and meeting notes, briefing documents, correspondence, and other material as required.
  • Maintain and administer contact, initiative, and assignment databases.
  • Ensure that all documents are recorded and filed electronically.
  • Develop a clear understanding of the goals and priorities of the Principals’ Offices.
  • Other duties as assigned by the Principals.
  • The Executive Assistant is required at all times to maintain complete confidentiality and to understand the sensitivity of the work that is done in the Principals’ Offices

Other Requirements:

  • Effective time management and ability to prioritize work.
  • Very high competence in office software including the Google Suite, Microsoft 365, Teams, Zoom, etc.
  • A collaborative approach to work, the ability to manage competing priorities, and willingness to take part in intensive work during periods of high workload and strict deadlines.
  • Excellent written and spoken English.
  • Highly valued: Experience with administrative-assistant work in an academic environment

Salary:  Attractive.

Compensation & other benefits: According to AUW policy.
