In close cooperation with the Assistant Dean of Pre-UG, the Pre-UG Advisors, the Office of Academic Registry, and The Associate Dean of the General Education Program ensure struggling students are given multiple opportunities and pathways to transition from the Pre-Undergraduate Program to the Undergraduate Program. The main focus of this role is to meet the individual needs of students who are not advancing in the Pre-Undergraduate Program as well as to oversee Pre-UG advisors and help them resolve problematic cases.
Main Responsibilities of the Job:
- Maintain the shared “At Risk” spreadsheet for Pre-UG (including GS, Pre-UG Long Term Problem, and current term students “Below 2.0” CGPA). Follow up with all stakeholders represented on the sheet to make sure students have met them and discussed their problems. Ensure remediation plans are created (and monitored) whenever possible.
- Make an academic plan for students who have failed their first attempt to enter the Undergraduate Program (“Bounce Backs”) or whose English and Math’s scores diverge significantly (extreme level gaps).
- Notify the Pre-Undergraduate Assistant Dean, the Dean of Students, and Academic Registry which students are at risk of exit or have recently failed to gain entry to the Undergraduate Program to be marked as “Special Review”
- Keep abreast of all Pre-UG policies including historical changes.
- Hold regular meetings with advisors for Q&A on recent changes and updates to Pre-UG Policies to ensure students are being properly and consistently advised..
- Hold workshops and seminars for advisors to improve their student/advisor interactions. Advisors should not only understand Pre-UG policies, but also be sensitive to the unique needs of the students.
- Reassign advisors should students request a change.
- Follow up cases of “non-responsive” advisors as reported by students.
- Make sure students who failed to be promoted to the next level’s course plans are modified correctly by advisors
- Meet students individually as needed and keep notes on interactions. Refer students to appropriate university departments and/or students’ advisors for assistance.
Other Requirements:
- Master’s Degree in English, Math, Computer Science, Science, or Education
- 2 years’ experience working with students in an equivalent program to AUW Pre Undergraduate
- Organized with strong skills using Google Sheets or Excel
- Excellent communication skills
- Experience working with students coming from traumatic backgrounds is helpful
- Ability to communicate university policies firmly, clearly, and sensitively.
